Digitalization of storage and ordering processes in energy supply
CASE STUDY
Joint service company of the municipal utilities Brunsbüttel, Glückstadt, Itzehoe and Wilster, supplies the Steinburg and Dithmarschen region with electricity and heat.
Industry: Energy supply
Goal: Digitization of warehouse and ordering processes
Keywords: warehouse management municipal utilities, warehouse system energy utilities.
Our software:
- mx.Webshop
Advantages:
- Acceleration and simplification of
processes - reducing the error rate
- saving paper
Originally, materials were recorded on a paper form and manually entered into the ERP system.
Initially, the ordering process was still very paper-based. The materials taken were recorded on a form and manually entered into the ERP system. This process was slow and error-prone and therefore needed to be digitized. As a long-standing customer of Iptor multiflex, T3E Logistik knew about the flexibility of the mx.Webshop. And so at the beginning of 2020 the idea came up to create and process internal orders via the Iptor multiflex webshop.
objective in the digitalization of business processes
The aim was to digitalise the ordering process and also to create the possibility of recording and forwarding orders internally in such a way that picking can take place in the warehouse as soon as the order is placed. The fitters should therefore be able to order directly from the construction site or in advance and then pick up the picked material from the warehouse. In order not to create an isolated solution, it was important to transfer the orders placed directly to the in-house ERP system via an interface.
The project began in early/mid 2020. By early 2023, the programming was so advanced that it was also being used by the doubters among the employees. 90-100% of orders now go through the webshop. However, the project cannot be considered completed, as there are always additional requests and ideas for optimization. These further developments of the shop are carried out in close coordination between Stadtwerke Steinburg, T3E Logistik and Iptor multiflex.
technical implementation
In a first step, it was important to program the interfaces to the systems used by Stadtwerke Steinburg GmbH. Then the various roles with their different rights were mapped out in the web shop. For example, there is the role of the fitter, whose orders are limited to a maximum amount and who also requires the approval of a supervisor so that the order can be placed. The role of the foreman, which allows orders without an upper limit. And external service providers are also assigned their own role - they can and should order via the web shop, but on their own account. A separate shop administrator was created so that these roles and approval hierarchies can be assigned by the employees of Stadtwerke Steinburg GmbH.
Material orders are now processed quickly and across systems.
The material requirements for the construction projects can now be planned and ordered directly from the construction site. The fitter then picks up the already picked goods from the warehouse. The fitters have the option of ordering the goods at short notice and also planning future projects: the order is then only triggered when the dispatcher has agreed the dates. Offers for the calculation of the construction projects can also be created directly in the shop. It is of course still possible to pick up material directly from the warehouse. In this case, the order is subsequently processed via the web shop.
Digitization saves paper and minimizes sources of error. The visual representation of the items and the option to give them customer-specific names speed up the search immensely. The web shop also offers the option of suggesting additional items such as accessories, etc. - making the fitters' work even easier.
